Overview

The system uses an invitation-based registration system to ensure only authorised members can create accounts. The registration process involves receiving an invitation link, verifying your email, providing personal information, and completing verification.

How to Access: Click the registration link in your invitation email

Warning

You cannot self-register without an invitation link. Contact your association administrator if you need access

Before You Start

Requirements:

  • Valid email address (personal or work)
  • Registration invitation link from your association
  • Access to your email for verification

What You'll Need:

  • First name and surname (legal name preferred)
  • Valid email address that you check regularly
  • Ability to complete a visual CAPTCHA challenge

Understanding the Registration Process

Invitation-Based Access

MOS groups control who can register through invitation links. Your association administrator will:

  • Generate a unique registration link for your group
  • Send it to prospective members via email
  • The link includes your group information and ensures you join the correct organisation

Group Association

When you click the registration link, you'll see your association's:

  • Group logo
  • Association name
  • Group description

This confirms you're registering for the correct organisation.

Step 1: Receive Invitation

From Your Association:

  1. Your association administrator sends an invitation email
  2. The email contains:

  3. Welcome message

  4. Registration link (unique to your group)
  5. Instructions for getting started
  6. Contact information for support

  7. Click the registration link in the email

  8. Your browser opens the MOS registration page
  9. You'll see your association's branding

What the Link Contains:

  • Group identifier (ensures you join the right organisation)
  • Security token (prevents unauthorised access)

If Your Link Expired:

  • Contact your association administrator
  • Request a new invitation link
  • Links can be regenerated at any time

Step 2: Email Verification

Enter Your Email Address:

  1. Email Address field:

  2. Enter your preferred email address

  3. Use an email you check regularly
  4. Can be personal (gmail.com, outlook.com) or work email
  5. Example format: firstname.lastname@company.com

  6. Confirm Email Address field:

  7. Re-enter the exact same email
  8. Must match the first entry character-for-character
  9. Case-sensitive validation

Validation Rules:

  • Email must be valid format: name@domain.com with valid domain
  • Both fields must match exactly
  • Email must not already be registered
  • Maximum 255 characters

Tips:

  • ✅ Copy-paste from first field to second to avoid typos
  • ✅ Use an email address you'll have long-term access to
  • ✅ Avoid temporary or disposable email addresses
  • ✅ Check spam folder if you don't receive confirmation emails

Common Errors:

Error Solution
"Email addresses do not match" Carefully re-enter both fields; check for extra spaces
"Not a valid email address" Ensure email is in valid format (name@domain.com)
"Email already exists" This email is registered; use sign in or password recovery

Step 3: Personal Information

Provide Your Name:

  1. First Name field:

  2. Enter your given/first name

  3. Letters, spaces, hyphens, apostrophes, and periods allowed
  4. Example: Mary-Anne, O'Brien, Jean-Luc
  5. No numbers or special characters (!, @, #, etc.)

  6. Surname field:

  7. Enter your family/last name
  8. Same validation rules as first name
  9. Example: Smith, Van Der Berg, O'Connor

Validation Rules:

  • First Name:

  • Required field

  • Must contain only letters, spaces, commas, periods, hyphens, apostrophes
  • Pattern: ^[A-Za-z ,.'-]+$
  • Minimum 1 character
  • Maximum 50 characters

  • Surname:

  • Required field
  • Same character rules as first name
  • Minimum 1 character
  • Maximum 50 characters

Why We Ask:

  • Your name appears on assessments and reports
  • Administrators use your name to identify you
  • Your name is visible to other members (depending on group settings)
  • Legal name is recommended for official records

Privacy:

  • Your name is visible to your group administrators and other members
  • You can update your name later in Profile settings
  • Some groups may restrict name changes after initial setup

  • Click Next to proceed

Step 4: CAPTCHA Verification

Complete Security Challenge:

CAPTCHA verification prevents automated bot registrations and ensures you're a real person.

  1. View the CAPTCHA Image:

  2. An image displays a code (usually 5-7 characters)

  3. Characters may be distorted or overlapping
  4. Background may have noise or patterns

  5. Enter the CAPTCHA Code:

  6. Type the characters you see in the image

  7. Case-sensitive (match uppercase/lowercase exactly)
  8. No spaces before or after
  9. Example: If you see Hg7Kp, enter exactly Hg7Kp

  10. Refresh if Needed:

  11. Can't read the code? Click the refresh icon
  12. A new CAPTCHA image generates
  13. No limit on refresh attempts

Tips:

  • ✅ Take your time reading the code carefully
  • ✅ Watch for similar-looking characters: 0 (zero) vs O (letter O), 1 (one) vs l (lowercase L)
  • ✅ Refresh if the image is too difficult to read
  • ✅ Match the exact case: Aa

Common Issues:

Issue Solution
"Incorrect CAPTCHA code" Double-check case and characters; try refreshing for new code
Can't read the code Click refresh icon for a clearer image
Code too distorted Keep refreshing until you get a readable one

Completion

Registration Success:

Once you submit your registration:

  1. Confirmation Page Appears:

  2. "You're nearly there" message displays

  3. Confirmation that registration was successful
  4. Instructions to check your email

  5. Email Sent:

  6. Within minutes, you receive a welcome email

  7. Email contains:

    • Username: Your email address or a generated username
    • Temporary Password: A secure auto-generated password
    • Sign-in Link: Direct link to MOS login page
    • Group Information: Your association name and details
    • Next Steps: Instructions for first login
  8. Check Your Email:

  9. Check inbox for email from Match Official System
  10. Subject line: "Welcome to Match Official System"
  11. If not received within 10 minutes, check spam/junk folder

First Sign In:

  1. Click the sign-in link in the email, or go to the MOS login page
  2. Enter:
  3. Username: Your email address
  4. Password: The temporary password from the email
  5. Click Sign in
  6. You'll be prompted to change your password on first login
  7. Set a strong, secure password
  8. Complete your profile setup

What Happens Next:

  • Your account is created in your association's group
  • You're assigned a default User role (can be upgraded by administrators)
  • Your profile is created with basic information
  • You can start completing assessments, viewing news, and accessing resources
  • Association administrators may contact you with onboarding information

Troubleshooting

Problem: Registration link doesn't work or shows an error

Solutions:

  1. Expired Link:

  2. Links may expire after 30-90 days

  3. Contact your association administrator for a new link
  4. They can regenerate invitation links at any time

  5. Invalid Link:

  6. Ensure you copied the entire URL

  7. Check for line breaks if pasted from email
  8. Try clicking the link directly instead of copy-pasting

  9. Group No Longer Exists:

  10. The association may have been deactivated
  11. Contact the administrator who sent the link

Email Already Registered

Problem: "The email address you have chosen during the registration process is already in the Match Official System."

What This Means:

  • An account with this email already exists
  • You may have registered previously
  • Someone else may be using this email (unlikely)

Solutions:

  1. Try Signing In:

  2. Go to the sign-in page

  3. Use your email and password
  4. If successful, you already have an account

  5. Forgot Password:

  6. Click "Forgot my password" on the sign-in page

  7. Enter your email address
  8. Answer your secret question
  9. Reset your password

  10. Contact Administrator:

  11. If you don't remember registering, contact your association administrator

  12. They can verify your account status
  13. They may be able to reset your password

  14. Use Different Email:

  15. If you have access to another email address, you can register with that
  16. Update your preferred email in Profile settings after signing in

Email Not Received

Problem: Didn't receive the welcome email with login credentials

Solutions:

  1. Check Spam/Junk Folder:

  2. MOS emails may be filtered as spam

  3. Look for sender: an email from the Match Official System
  4. Mark as "Not Spam" and add to contacts

  5. Wait Longer:

  6. Email delivery can take up to 15 minutes

  7. Check again after waiting

  8. Verify Email Address:

  9. Did you enter the correct email?

  10. Check for typos in the email address you registered with

  11. Contact Administrator:

  12. Your association administrator can:
    • Verify your registration status
    • Resend the welcome email
    • Manually set your password
    • Provide your username

CAPTCHA Problems

Problem: Can't complete CAPTCHA verification

Solutions:

  1. Refresh for New Code:

  2. Click the refresh icon next to the CAPTCHA image

  3. Keep trying until you get a readable code

  4. Match Case Exactly:

  5. CAPTCHA is case-sensitive

  6. A (uppercase) ≠ a (lowercase)

  7. Avoid Extra Spaces:

  8. Don't add spaces before or after the code

  9. Copy-paste is not allowed; must type manually

  10. Browser Issues:

  11. Try a different browser (Chrome, Firefox, Edge)
  12. Clear browser cache and cookies
  13. Disable browser extensions that may interfere

Form Validation Errors

Problem: Form won't submit or shows validation errors

Common Issues:

  1. Email Format Invalid:

  2. Must be format: name@domain.com

  3. Check for spaces, missing @, or invalid domain

  4. Emails Don't Match:

  5. Both email fields must be identical

  6. Check for extra spaces or typos

  7. Name Contains Invalid Characters:

  8. Only letters, spaces, hyphens, apostrophes, periods, commas allowed

  9. No numbers or special characters like @, #, $

  10. Missing Required Fields:

  11. All fields must be completed
  12. Look for red error messages indicating what's missing

After Registration

  1. Sign in with your new credentials
  2. Change your password: My AccountChange Password
  3. Complete your profile: My AccountUpdate Profile (add picture, address details, theme)
  4. Explore: Check the Home dashboard, news, and any assigned work
  5. Contact your administrator if you have questions about your access or role
