Availability

Access Level

Appointer role or Owner access required to view group-wide availability. All users can record their own availability.

Overview

The Availability page gives administrators a full picture of which officials are available across any given month. It displays a colour-coded calendar matrix for the whole group, and a summary table showing availability percentages per official.

Officials can also record their own availability from their personal Appointments section.

How to Access

From the main menu under Owner Admin, click Appointments then Availability.


Availability Matrix

The matrix shows every member of your group in rows, with dates across the top as columns.

Colours:

Colour Meaning
Green Official has marked themselves available
Red Official has marked themselves unavailable
No colour No availability recorded for that date

Use the and arrows on either side of the month heading to move between months.


Summary Statistics

Three summary cards at the top of the page show:

  • Average availability % — the mean availability across all officials for the selected month
  • Officials ≥ 75% — how many officials are available for at least 75% of expected days
  • Expected days configured — the number of days per month used to calculate percentages

Availability Analytics Table

Below the matrix, the analytics table lists every official with:

  • Available Days — number of days marked available in the selected month
  • Unavailable — number of days marked unavailable
  • Expected Days — the target number of days for the month
  • % Available — available days as a percentage of expected days

Filtering by Subgroup

Use the subgroup dropdown at the top to view availability for a specific subgroup rather than the whole organisation.


Exporting Availability

  1. Optionally select a subgroup from the dropdown
  2. Optionally tick Only include officials with at least one unavailable day to narrow the results
  3. Click Export CSV
  4. Result: A spreadsheet downloads showing official names, dates, and availability status

Configuring Expected Days

Note: This setting is available to Owners and Super Admins only.

Expected Days tells MOS which days of the week officials are typically expected to be available. This is used to calculate the availability percentage shown in the analytics table.

Example: If your competition runs on Saturdays and Sundays, you would select Saturday and Sunday. A day in the month that is not a Saturday or Sunday does not count toward the total.

  1. Click Expected Days
  2. Tick the days of the week your officials are expected to be available
  3. Click Save
  4. Result: Availability percentages are recalculated using the updated day selection

Passive Mode

If your organisation is in Passive Mode, a notice appears explaining that availability is managed by an external system. Officials cannot record their own availability manually — it is imported from the external system.


How Officials Record Availability

Officials manage their own availability from their personal accounts:

  1. The official navigates to AppointmentsAvailability
  2. They select a date on the calendar
  3. They mark themselves Available or Unavailable for that date, with an optional reason
  4. The record appears immediately in the admin matrix

Troubleshooting

The matrix shows no data

All cells in the matrix are blank. This occurs when officials have not recorded availability for the selected month, or your organisation is new and no availability data exists yet.

Percentages look incorrect

Availability percentages seem too high or too low. Click Expected Days and review which days are selected — ensure only the days your competition runs on are ticked, then save the changes. This is commonly caused by Expected Days not being configured, or officials recording availability on non-competition days.
