My Appointments

Access Level

Available to all authenticated users. No special role required.

Overview

The My Appointments page shows all appointments assigned to you by your organisation's administrator. You can view upcoming fixtures, respond to appointment requests, and export your schedule to a calendar application.

How to Access

From the main menu, click Appointments then My Appointments.

Before You Start

Your administrator must assign you to an event before anything appears here. If the page is empty, you have no upcoming appointments.


Upcoming Appointments

The Upcoming tab shows appointments for events that have not yet occurred.

Each appointment shows:

  • Event title
  • Date and time
  • Home team vs Away team (if set)
  • Competition or grade
  • Venue name
  • Your assigned role
  • Your current response status (Pending, Accepted, or Declined)
  • Any notes added by the administrator

Responding to an Appointment

When an administrator assigns you to an event, your appointment appears with a Pending status and a Respond button.

  1. Click Respond next to the appointment
  2. A prompt appears showing the event name
  3. Click Accept to confirm you are available, or Decline to advise you cannot attend
  4. Result: The status badge on your appointment updates immediately to Accepted or Declined

Tip: Respond as early as possible so administrators can plan staffing.


Appointment History

The History tab shows appointments for events that have already occurred. Use this to review your past appointments, roles, and responses.


Exporting Your Schedule

You can download your upcoming appointments as a calendar file to add to Google Calendar, Apple Calendar, Outlook, or any other calendar application.

  1. Click Export to Calendar (.ics) at the top of the page
  2. A file downloads to your device
  3. Open the file to import your appointments into your preferred calendar application
  4. Result: Your upcoming appointments appear as events in your calendar with the event title, date, time, venue, and role

Tip: Re-download the file whenever your appointments change to keep your calendar up to date.


Linking an Appointment to a Diary Entry

If your organisation uses the Assessment Diary, you can link an appointment to a specific diary entry to track them together.

  1. Find the appointment you want to link
  2. Click Link to Diary
  3. Enter the Game ID from the diary entry
  4. Click Link
  5. Result: The appointment is linked. The button changes to Unlink

To remove a link, click Unlink on the appointment.


Status Badges

Badge Meaning
Pending You have not responded yet
Accepted You accepted the appointment
Declined You declined the appointment
Cancelled The event was cancelled by the administrator

Troubleshooting

No appointments appear

The page shows no upcoming appointments. Check the History tab — your appointments may be in the past. If nothing appears there either, contact your administrator to confirm you have been assigned to events. This happens when you have not been assigned to any upcoming events, or your organisation has not set up appointments yet.

Respond button is not visible

An appointment shows but there is no Respond button. This occurs when you have already responded to the appointment, or the event has been cancelled.
